To simplify collaboration with suppliers, Prospeum offers the so-called FAQ Tool.
As mentioned earlier, you can access the FAQ Tool either through the widget mceclip0.png on the right side or the "Question Tool" button on the left side (not visible in all tabs).
In the FAQ Tool, you'll find all tickets (which can be suggestions or questions from your suppliers) listed in a table.
Next, we'll explain how you can manage and respond to the tickets.
Managing Tickets
First, open the FAQ Tool. You'll arrive at the following view.
In the left filter bar, you can filter all tickets for a better overview. We offer the following options:
- Filter by Reference: Where the ticket was created (Roadmap, Project Information, Questionnaire, or Price Sheet)
- Filter by Supplier (Ticket Creator)
- Show only unanswered tickets
On the right side, you'll see the main management console. All tickets are sorted based on their reference to elements in the proposal.
Additionally, you can see the title, creator, and creation date. Once you've answered a ticket, you can view the response on the right. You'll also see the "Frequently Asked Questions" tab at the top right. In this tab, you'll find all tickets that you've answered to all suppliers in general.
To view a ticket, click on the title of the ticket. You'll see the following popup.
You are now viewing the supplier's question/suggestion. By clicking the "Assigned Objects" button, you can display the context of the ticket.
Subsequently, in this context menu, you can respond directly to the supplier regarding the ticket. More about this in the following section of this article.
If you want to return to the overview, click on "Back."
Responding to Tickets
In Prospeum, you can respond to tickets in two ways: either directly (only to the creating supplier) or generally, where you publish the question and answer to all participating suppliers.
Responding directly to a ticket
To respond directly to a ticket, open the ticket as described above. Then enter your response in the designated field and click "Save." The ticket is now answered, and you will see this in the overview as well.
Click on "Answer" to review the response once again or to compose an additional response message.
Responding to a ticket in general
If a ticket is relevant for all suppliers, you have the option to make the question and answer available to all suppliers. Similarly, multiple suppliers might have asked the same or a similar question.
To respond to the ticket for all, follow these steps:
Use the selection fields to choose all relevant tickets for the same question. Then click on "Respond to All" in the Action Bar.
