The virtual project space (VP) is the command center for every bidding process. This is where management, collaboration, and evaluation take place.
The VP consists of 8 tabs, a navigation element, and 5 action widgets. We will now delve into these elements in more detail.
- Tab Bar
You manage your bids within these 8 tabs. These cover the following topics:
- Roadmap: Define and manage the project phases and durations for your bid here.
- Project: Here you will find your project specifications and files, and can collaboratively edit them with your team and potentially implement supplier proposals.
- Questionnaire: The supplier questionnaire for obtaining offers is stored here and can be edited by your team.
- Price Sheet: Manage the price structure you request from your suppliers here.
- Scoring List: Manage the weighting of decision criteria here.
- Team: As the project author, you can view and manage your team here. If you don't have an author role, you can view your team here.
- Suppliers: Manage the participating suppliers, evaluate submitted offers, and view the bid results here. Additionally, you can create a beauty contest here.
- Procurement Information: As the project author, you can make general settings for the bidding and evaluation here. You can find more information on this here.
2. Widgets
The 5 widgets on the right edge of the screen each have a dedicated function:
1. The To-Do widget: Here, you can assign and manage tasks for yourself or your team. The red counter above the widget shows you the number of your own open tasks.
- To create a task, start with @ and select the corresponding colleague or yourself.
- Now formulate your task.
- If you want to reference an element of the bid, use # and select the corresponding element.
- Once you've completed a task, you can mark it as done by clicking on the circle icon next to the task.
2. The FAQ Tool widget: This widget takes you to the FAQ Tool. The red counter indicates how many unanswered supplier tickets are currently present. You can find more information on this here.
3. The Event Log widget: Here, you can track compliance-safe changes made to your bid by users.
4. Notes: You can document notes on various topics within the bid here.
5. Notifications: You can set up email notifications for specific bid-related actions you want to be notified about.
3. Navigation
In the navigation area, depending on the context of the respective tab you are currently in, you will find: table of contents for quick navigation, sub-menus for additional functions, aggregated information, or filtering options.
