In this section of the proposal, you manage the pricing structure, in which you request quotes from your suppliers.
In Prospeum, price sheets are generally divided into Procurement and Supplier columns: Procurement columns:
- Specified by the purchasing company and cannot be changed by suppliers. This is where you define specific items (e.g., manufacturer or rate-card level).
- Supplier columns: These columns are provided by the purchasing company for suppliers to fill out (e.g., unit price, total price, etc.).
You can create as many price sheets as needed for a proposal. If no price sheet template was chosen when the project was created, you will initially find this tab empty and will need to create a new price sheet as the first step.
Creating a Price Sheet
To create a new price sheet, select "Create New Price Sheet."
In the following menu, assign a title to the price sheet, such as "Development Costs." If you intend to evaluate your proposal in sub-projects (lots) or with dedicated assessment categories, you need to create the lots and/or assessment categories first. Then, you can assign the price sheet to the respective lots/categories. If you do not want this classification, leave the setting at "Default."
In the next step, you need to add the desired columns and rows to the price sheet.
First, add all the relevant columns, starting with the Procurement columns and then the Supplier columns.
For better understanding, let's consider a simple example: You want to purchase consulting services. You want to gather daily rates and person-days for both Partner-level and Associate-level consultants. To insert a new column, select "Add Column" in the Action Bar.
Then assign a title and decide whether it's a Procurement or Supplier column.
In this example, let's create 2 Procurement columns first (Seniority and Description), followed by 3 Supplier columns (Daily Rate, Person-Days, Total Cost).
In the next step, fill in the rows in the Procurement columns to specify the positions. Create new rows using "Add New Row" at the bottom and then fill in the respective cells.
Formatting Column Entries
If you want to receive formatted results from your suppliers in the price sheet (e.g., European prices with 2 decimal places) or if you intend to gather both numerical prices and text comments within the price sheet, you can pre-format the relevant Supplier columns.
To do this, place the cursor on the respective column and then click on the gear icon. You can now adjust the formatting.
Editing Price Sheets
If you have created multiple price sheets, first select the relevant price sheet. To do this, select it through the tab above the table view.
If you want to rename the price sheet itself or make changes to the settings regarding lots and/or assessment categories, click on the Edit icon next to the price sheet name.
To completely delete a price sheet, select the price sheet and then click "Delete Sheet" in the Action Bar.
Within the price sheet, you can delete rows and columns using the respective trash bin icons.
You can add new rows and columns using the buttons in the Action Bar or the + symbols within the table.
