The following explanations are based on an administrator account with full access rights.
1. After logging in to Prospeum, click on the gear icon in the navigation bar.
2. Now, you'll find the navigation for company management on the left side. Proceed to the Users and Roles section with the following subsections:
Users
Here, you can see all users listed for your company. You can view their respective roles and, if necessary, make changes. If you wish to edit a user's role:
1. Hover the mouse pointer over the respective user in the list.
2. Select the pencil icon for editing.
3. A sidebar will appear where you can make the necessary changes.
4. After finishing your edit, click on Update.
Invitations
- If you wish to add more colleagues from your company to Prospeum, you can proceed as follows:
- If you are still in the "Users” tab, click on "Invite Associate" in the action bar, and then enter the colleague's email address and a personal message. The colleague will now receive an invitation.
- If you have switched to the "Invitations" tab, please follow the same process and click on "Invite Associate" in the action bar.
- After sending the invitation, you can track all pending invitations and their respective statuses in the "Invitations" tab.
Requests
- Colleagues can not only be invited by you but can also proactively register with Prospeum and then assign themselves to your company.
- In this case, as an administrator, you will receive a notification via email.
- To respond to these requests, please navigate to the "Requests" tab
Role Management
- In Prospeum, a permission management system is in place, allowing you to control which actions an employee is authorized to perform. This permission management is controlled through roles.
- To access the role management, please select "Role Management" in the left navigation.
Create Custom Roles with Permissions
- By default, Prospeum provides 4 predefined roles. If you want to define additional custom roles:
- Select "Create New Role" in the action bar.
- Give the role a name
- Choose "Create"
- To configure the permission management for the role, select the new role from the dropdown menu above and set the permissions as explained in the following section.
Edit Existing Roles
- To modify the permissions of existing roles or set permissions for new roles:
- Select the appropriate role from the dropdown menu above.
- Below, you will find a section of dropdown menus that group permissions according to various topics such as Company Administration, System Administration, Supplier Profiles, Requisition Intake.
- Upon expanding a menu, you will see additional sub-areas that are also dropdown menus. Expand this last one.
- You can easily view the available permission types for that section and toggle them on or off according to your preferences.
- Once you have set all the permissions, select "Save [Role Name]" located in the top right corner.
