To manage your users and roles, first navigate to the company administration by clicking on the gear icon in the navigation bar.
Next, select "Users and Roles" in the left navigation.
You will be taken to the following view.
The following explanations refer to an administrator account with full access rights.
Overview and Management of Existing Users
As described above, you have already arrived at the user view. Here, you can see all users listed for your company. You can view their respective roles and, if necessary, make changes.
If you wish to edit a user's role, hover the mouse pointer over the respective user in the list.
Then, select the pencil icon for editing.
In the subsequent context menu, choose the relevant role(s) and then click "Update" in the action bar.
Invite Colleagues
If you wish to add more colleagues from your company to Prospeum, you can proceed as follows:
- If you are still in the "Users" tab, click on "Invite Associate" in the action bar, and then enter the colleague's email address and a personal message. The colleague will now receive an invitation.
- If you have switched to the "Invitations" tab, please follow the same process and click on "Invite Associate" in the action bar.
After sending the invitation, you can track all pending invitations and their respective statuses in the "Invitations" tab.
Edit Colleague Requests
Colleagues can not only be invited by you but can also proactively register with Prospeum and then assign themselves to your company.
In this case, as an administrator, you will receive a notification via email.
To respond to these requests, please navigate to the "Requests" tab.
You are now viewing a list of requests. Select the relevant person, and then click either "Accept" or "Reject" based on your needs.
Manage Roles (Permission Management)
In Prospeum, a permission management system is in place, allowing you to control which actions an employee is authorized to perform. This permission management is controlled through roles.
We have already discussed how to assign a role to a user. Now, we will explain how to configure permissions and create new roles.
To access the role management, please select "Role Management" in the left navigation.
Permission Matrix
The permission matrix has 2 dimensions.
- Access Rights Dimension: Here, you can decide whether a role can: view, add, edit, or delete.
- Resource Dimension: Here, you can decide which access rights a role receives for a particular resource. An explanation of the available resources can be found below.
Permissions can be set for editing your company's profile and for using the supplier management.
Create Custom Roles with Permissions
By default, Prospeum provides 4 predefined roles. If you want to define additional custom roles, select "Create New Role" in the action bar.
Next, give the role a name and choose "Create this Role."
To configure the permission management for the role, select the new role from the dropdown menu above and set the permissions as explained in the following section.
Edit Existing Roles
To modify the permissions of existing roles or set permissions for new roles, start by selecting the appropriate role from the dropdown menu above.
Then, check/uncheck the boxes for the applicable dimensions according to your preferences.
Once you have set all the permissions, select "Update [Role Name]" in the action bar.
