Procedure:
1. Accessing the Management Overview
- Open the project space or tender.
- Take note of the management overview that displays key information such as the description, involved suppliers, and current offer submission formats.
2. Team Management
- Navigate to the "Team" section.
- Click on "Add New Team Member" to add internal participants to the tender.
- Search for the desired colleague and select them.
- In the next step, assign a role for the team member:
-"Author Selection": Can modify all aspects of the tender.
-"Contributors": Can collaborate on content but not change fundamental tender settings.
-"Reviewer": Can only participate in the evaluation.
-"Viewers": Classic viewer role without editing rights.
Note: You can add colleagues from procurement or employees from departments to expand the team.
3. Team Composition
- Review the nature of the tender project without taking concrete actions.
- Individually select the members of your tender team.
- Create a roadmap for the team. This step will be covered in a separate video.
- Create the performance description for the tender. There is also a separate video for this.
- Define the different submission formats for the tender, such as questionnaires and price sheets.
- Consider the suppliers who should participate in the tender in some form. They will be displayed in the "Supplier Offers" section.
- Optionally, you can also conduct a "Beauty Contest" where supplier presentations are additionally evaluated.
Note the results and the award process displayed subsequently.
4. Configuring Tender Settings
- Click on the "Project Settings" widget on the right to access the actual tender settings.
- A module will open where you can make all possible adjustments and configurations for the tender.
- Make the necessary adaptations and configurations to tailor the tender to your needs.
Note: This step involves settings beyond team management and allows you to comprehensively customize the tender.
5. Introduction and Focus on Basic Settings
- Note that certain parts of this guide will be covered in separate videos for clarity.
- Now, delve into the basic settings located under the "Settings" tab.
6. Customizing the Tender Title and Description
- Modify the tender title if necessary.
- Adjust the tender description as needed.
7. Assigning a Commodity Group for Future Analysis
- Optionally assign a commodity group to the tender to facilitate potential future analysis.
8. Configuring Shared Supplier Settings
- Make three important settings:
-Choose the "Restricted to Shared Suppliers Only" option. This function works in conjunction with supplier management, allowing only suppliers who have undergone an onboarding process to access the tender.
-Note that if you invite a supplier who hasn't been approved, they will automatically receive an invitation to an onboarding process. They can only access the tender contents once their onboarding is approved.
9. Notifying Suppliers on Project Exclusion
- The second tab deals with the "Notify Suppliers Directly on Project Exclusion" option.
- When you reject a supplier in the award process, they automatically receive an immediate notification email.
Note: These basic settings allow you to customize important aspects of the tender, including title, description, supplier permissions, and notifications.
